Job Description

The Documentation Specialist will be responsible for creating, managing, and maintaining documentation for various projects, processes, and procedures within our organization. The ideal candidate will have strong writing and editing skills, a keen attention to detail, and the ability to work collaboratively with cross-functional teams.

We are only considering candidates who reside locally in Austin, TX.

Key Responsibilities:

  1. Document Creation: Develop and create a variety of documentation including but not limited to project plans, policies, procedures, user manuals, technical specifications, and training materials. Ensure that all documentation is accurate, clear, and easy to understand.

  2. Document Management: Establish and maintain document management systems and repositories to organize and store documentation effectively. Ensure that documents are version-controlled, easily accessible, and compliant with organizational standards and guidelines.

  3. Content Review and Editing: Review and edit documentation for accuracy, consistency, clarity, and adherence to established standards and style guidelines. Collaborate with subject matter experts and stakeholders to incorporate feedback and ensure that documentation meets the needs of its intended audience.

  4. Documentation Updates and Maintenance: Regularly update and maintain documentation to reflect changes in processes, procedures, or systems. Monitor document lifecycle and ensure that outdated or obsolete documentation is archived or retired appropriately.

  5. Quality Assurance: Perform quality checks on documentation to ensure that it meets quality standards and regulatory requirements. Verify that documentation is complete, accurate, and up-to-date before final approval and distribution.

  6. Collaboration and Communication: Collaborate with cross-functional teams including project managers, subject matter experts, and stakeholders to gather information and input for documentation. Communicate effectively with team members to ensure alignment and consistency in documentation efforts.

  7. Training and Support: Provide training and support to end-users on accessing and utilizing documentation effectively. Assist users in understanding complex concepts or processes by translating technical information into clear and concise language.

Qualifications:

  • Proven experience as a Documentation Specialist, Technical Writer, or similar role.
  • Excellent writing, editing, and proofreading skills with a strong command of grammar and punctuation.
  • Proficiency in document authoring tools such as Microsoft Word, Adobe Acrobat, or similar software.
  • Familiarity with document management systems and version control tools.
  • Strong attention to detail and ability to maintain accuracy in a fast-paced environment.
  • Ability to work independently and collaboratively in a team-oriented environment.
  • Experience working in a technical or scientific field is preferred but not required.

Additional Requirements:

  • Strong organizational and time management skills to manage multiple documentation projects concurrently.
  • Ability to adapt to changing priorities and deadlines.
  • Familiarity with industry-specific documentation standards and best practices.
  • Knowledge of graphic design principles and tools is a plus.
