Job Description
Provide administrative support for the Clinical Laboratory including maintaining files, maintaining all regulatory manuals, preparing statistical reports, handling correspondence, maintaining time logs, work schedules and other related duties
RATE: $15.73 - $19.73/hr. On W2
Detailed Statement of Duties:
- Files correspondence, reports ,applications, etc.
2.Answers telephone calls and provide routine information concerning departmental services.
3.Answers inquires relative to laws, rules, regulation, policies and procedures in Department of Clinical Laboratory
4.Prepares standardized forms such as routing slips.
5.Receives and distributes incoming mail, and memoranda.
6.Operates standard office machines and equipment calculators, fax machines, copiers and computers.
7.Reviews forms, lists documents, correspondence and/or applications for accuracy and completeness.
.Schedule, or arrange for conferences, meetings, interviews, appointments and similar activities.
9.Notify appropriate parties orally and/or in writing of information such as meetings and conferences.
10.Compiles data for analysis based upon statistical information gathered on a monthly basis.
11.Proofreads typed material for grammatical, punctuation and spelling errors and for proper format, accuracy completeness.
12.Composes correspondence for routine memos and or letters such as requests for information, confirmation of meetings, etc.
13.Communicates with reference laboratories relative to invoices, information about testing and other related activities.
14.Prepares bi-weekly time logs and overtime forms.
15.LabCorp reports (EMR) verifying results and file them.
16.Under the direction of the Director of Clinical Lab, accesses the LAB portion of the Hospital Information System in order to acquire patient specific information for supervisors and or providers/nursing personnel.
17.Maintains inventory control of office supplies.
18.Distribute, fax, and or mail patient results to appropriate physicians/departments/institutions and communicate results.
19.Maintain patient, employee and department confidentiality while fulfilling all duties.
20.Prepares agendas and minutes of meetings.
21.Coordinates all administrative activities for the Clinical Lab Supervisor, including maintaining her/his appointment calendar.
22.Reports to the Clinical Lab Supervisor for the periodic review of state, federal, and JCAHO requirements
23.Responsible for updating/maintaining all components of Clinical Lab Policy / Procedure manual and updating lab binders by logging into Policy Tech.
24.Responsible for updating/maintaining all aspects of the Clinical Lab Safety Manual
25.Responsible for updating/maintaining all aspects of the Clinical Lab Continuing Education Manual by updated department spreadsheet to track seminars, presentations, etc that the department can attend to.
26.Provide support with Employee Performance Forms- edit, organize, file, and distribute copies of individual employees (state A-C) EPRS forms.
27.Help the staff when they are having difficulty with SSTA System.
28.Help specimen processing department as needed. Will receive specimen and distribute to each dept accordingly) Microbiology, hematology, Blood Bank etc) and utilize Meditech in order to receive specimen.
Qualifications Required at Hire (List Knowledge, Skills, and Abilities):
- Fluent knowledge of English language, oral and written.
- Ability to understand and apply the laws, rules and policies relating to the department.
- Ability to maintain accurate records and filing systems.
- Proficient with Microsoft word. Familiar with Microsoft excel, familiar with Microsoft Access.
- Ability to quickly become proficient with LSH Network system.
- Willing to attend seminars/training to become proficient with Microsoft Office programs as needed.
- Ability to establish and maintain harmonious working relationships with others.
- Knowledge of clerical office practices and procedures.
- Skill in operating general office machines including electronic typewriter, computer, fax machine, copiers and dictating equipment, ability to write 35 mail able words per minute.
- Ability to explain the laws, rules, policies and procedures pertaining to the department.
- Ability to give written and oral instructions in a precise understandable manner and communicate effectively and with sound judgement.
- Ability to determine the proper format and procedure for assembling items of information.
- Ability to supervise, including planning and assigning work according to the nature of the job to be accomplished.
- Knowledge of the principles, practices and techniques of supervision.
- Knowledge of the types and uses of department forms.
- Knowledge of the proper telephone procedures for making and receiving department calls.
Minimum Entrance Requirements:
Applicant must have at least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) any equivalent combination of the required experience and the substitutions below.
Substitution: Diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school level may be substituted for a maximum of two years of the required experience.
*Education toward such degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
Note: Educational substitutions will only be permitted for a maximum of two years of the required experience.
Qualifications Acquired on Job: Knowledge of rules of regulations (State and Federal)relating to Pathology and Clinical Laboratory. Ability to do data entry and information retrieval with Laboratory Information System.
