Job Description
We are seeking a reliable and detail-oriented Case Assistant – Program Support to provide administrative support to two Career Service Counselors with visual impairments. This hybrid position plays a critical role in assisting counselors with case management activities, document preparation, electronic record management, and accessibility support within the MassAbility case management system.
The ideal candidate is organized, dependable, technology-savvy, and committed to delivering accurate administrative support while maintaining confidentiality and professionalism.
Key Responsibilities
- Assist Career Service Counselors with daily administrative tasks using the MassAbility case management system.
- Create and prepare documents, letters, reports, and correspondence.
- Enter and maintain accurate case notes and client information.
- Initiate purchase orders and contract orders within the system.
- Assist with financial needs assessments and service plan development.
- Upload, organize, retrieve, and maintain electronic client records.
- Complete and process various forms, including tuition waiver letters, referral forms, MBTA TAP letters, and other program documentation.
- Provide visual assistance by reading and explaining information displayed on computer screens.
- Organize electronic files to ensure accessibility and efficient document management.
- Maintain confidentiality of client records and sensitive information.
- Collaborate effectively with counselors and provide timely administrative support.
- Participate in virtual meetings using Microsoft Teams and Zoom as needed.
Required Qualifications
- High school diploma or equivalent required; Associate's degree preferred.
- Previous administrative, office support, case management, or program support experience is preferred.
- Strong organizational skills with the ability to prioritize multiple tasks.
- Excellent verbal and written communication skills.
- Ability to work independently with minimal supervision.
- Strong attention to detail and accuracy.
- Positive attitude with a willingness to assist others.
- Ability to understand and follow verbal and written instructions.
- Comfortable reading information displayed on computer screens and providing visual assistance.
- Ability to quickly learn new software applications and case management systems.
