Job Description

The PMO will play a crucial role in supporting the successful delivery of projects within our organization by providing administrative, analytical, and strategic assistance to project managers and teams. The ideal candidate will have a strong background in project management methodologies, excellent organizational skills, and the ability to effectively communicate and collaborate with stakeholders at all levels.

We are only considering candidates who reside locally in Austin, TX.

Key Responsibilities:

  1. Project Governance: Implement and maintain project management standards, processes, and procedures to ensure consistency and efficiency across all projects. Establish and enforce project governance frameworks to facilitate decision-making and risk management.

  2. Project Planning and Monitoring: Assist project managers in developing project plans, schedules, and budgets. Monitor project progress against key milestones and deliverables, identifying and escalating any issues or deviations from the plan.

  3. Resource Management: Coordinate resource allocation and utilization across multiple projects, ensuring that project teams have the necessary resources to meet their objectives. Maintain resource allocation matrices and assist in resolving resource conflicts as they arise.

  4. Documentation Management: Maintain project documentation and repositories, including project charters, plans, status reports, and meeting minutes. Ensure that all project documentation is accurate, up-to-date, and easily accessible to project stakeholders.

  5. Risk and Issue Management: Assist in identifying, assessing, and mitigating project risks and issues. Maintain risk and issue registers, track mitigation actions, and provide regular updates to project teams and stakeholders on risk status and mitigation efforts.

  6. Quality Assurance: Support project managers in ensuring that project deliverables meet the required quality standards and adhere to established best practices and methodologies. Conduct quality reviews and inspections to identify and address any deviations from the project requirements.

  7. Stakeholder Communication: Facilitate communication and collaboration between project teams, stakeholders, and senior management. Prepare and distribute regular project status reports, presentations, and dashboards to keep stakeholders informed of project progress and key metrics.

  8. Continuous Improvement: Identify opportunities for process improvement and optimization within the project management function. Propose and implement changes to enhance the efficiency, effectiveness, and maturity of project management practices within the organization.

Qualifications:

  • Strong understanding of project management methodologies, tools, and techniques.
  • Excellent organizational, analytical, and problem-solving skills.
  • Proficiency in project management software such as Microsoft Project, Primavera, or similar tools.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with stakeholders at all levels.
